After installing, licensing and activating the services, it is necessary to create the conversion rules so that we have our files processed and treated by the software;
New Rule
To create a New Conversion Rule, just click on the ADD button located in the upper left corner of the ConvertOCR Admin. When clicking on the icon, a new window is displayed containing several parameters to be configured:
Let's understand all the parts of this window and what each of these options is for, the areas are visually well delimited and are:
- Pre-Processing
- Output Format
- Language
- Rule ID
- Automatic Barcode Indexing
- Signature with Digital Certificate
- Metadata
- Output Directory
Pre-Processing
As can be seen in the image above, this part of the window has several parameters and we will understand them below:
- Framing - Applies the "Deskew" feature, in order to adjust the page framing;
- Page Orientation - Using OCR, it identifies through the text the correct orientation of the page, adjusting it to the reading position;
- Noise Removal - Applies the identification of noise in the image and its elimination during the OCR process, but does not modify the final document;
- Compression (MRC) - Applies image optimization to generate PDF with smaller storage size. Valid only for originals other than PDF;
- Binarization - Applies the color conversion to bitonal during the OCR process, but does not modify the final document;
Output Format
In this part of the screen, as in the image above, we can see the formats that ConvertOCR saves the final file, as well as two extra options, let's understand them below:
- PDF Research - Generates a final file in PDF format, with selectable and searchable content;
- PDF - Generates a final PDF file;
- RTF - Applies the result of OCR recognition to a final RTF file;
- Text - Applies the result of the OCR recognition in a final file of type Text;
- PDF/A - Optionally applies the archival standard for PDF format outputs;
- Checksum - Optionally creates a checksum file additional to the processed one, for integrity validation purposes;
Language
This part of the screen shows us some language information, when defining a language, the software understands that it must use the library of that language to recognize the text present in the scanned file;
Rule ID
In this part of the window we have a field where the rule name must be inserted, this name must be unique;
Automatic Barcode Indexing
In this part of the screen when activated, it looks for Barcode/QR Code (on the first page) and uses the recognized data to index the document;
Signature with Digital Certificate
Allows selection of a digital certificate to sign an output PDF document:
- Subscribe - Activates the subscription;
- Lock - Locks the document after signature;
- LTV - Applies "Long Term Validation";
Metadata
This button grants access to edit the metadata applied to a processed PDF output document;
Output Directory
In this part we have some options referring to the directory where, after processing the original file, the new file will be saved. When clicking on the SELEC. DIRECTORY button, a navigation window will be displayed to choose the location where the files treated by this rule will be saved;
In this case, a folder was created at the root of Local Disk C for this purpose, but it is recommended that in addition to this folder, subfolders are created in order to organize the files according to sectors and processes.
After selecting the path and clicking "OK", we must test the path by clicking on the TEST PATH button, if the path is accessible by the software, the window below will appear:
If an error is displayed, it is recommended that you choose another location for the save, if you have received confirmation that the path is valid, just click on the SAVE button, if everything goes well you will receive the warning below:
